Job Description

Summary:
Unique opportunity for an individual committed to a career in customer service with positive attitude to join investment management firm. Primary responsibility of the Director of First Impressions will be to greet visitors/ answer the firm’s main phone line/create a quality customer experience. This individual will be responsible for ensuring superior customer service to both internal/external customers by welcoming/assisting customers helping to create a positive first impression and consistently brand the firm.

Responsibilities:
Greet visitors/callers in a professional manner
Answer incoming calls/transfers calls to appropriate personnel
Serves as a resource for guests/visitors (may include providing directions/suggestions for lunch/parking/taxi service)
Prepare for guests by working with staff to know who is arriving/when
Prepare conference room for guest arrival (coffee/beverages/promotional items/written materials…)
Maintains the front desk/reception area
Accept/sign for registered/special delivery mail and contact receiver to let them know their package is available
Maximize work productivity by; drafting correspondence and memorandums/compiling data/preparing reports and forms/editing and proofreading materials/data entry/client mailings/sorting/calendaring appointments
Responsible for loaning out garage openers and monitoring their return
Assists with opening, sorting and distributing incoming mail
Coordination of special events, group meetings and lunches
Monitors client experience/quickly work to solve deficiencies
Identify areas to improve the customer experience
Act as primary back-up to the Office Coordinator

Requirements:
3-5 years experience in professional office environment; strong preference for prior investment industry experience
Professional appearance (including professional dress code) absolutely required
2 years of telephone sales or customer service experience required
High school graduate required; some post-secondary education preferred
Commitment to providing quality customer service
Maintain a positive/welcoming/warm demeanor at all times
Excellent verbal/written/phone communication skills
Team player with a strong work ethic/integrity
Ability to work well under pressure and function in a fast-paced environment
Strong Microsoft Outlook/Word/Excel experience required
Ability to work independently with minimal supervision
